Preparing the 2026 Financial Year
Preparing the 2026 Financial Year
The transition to a new financial year is a key step for any company. It is not merely an administrative formality: correctly configuring the financial year and automatic numbering is essential to ensure continuity in invoicing, consistency across journals, and reliability of financial data. Preparing these settings before the start of 2026 helps avoid system blocks, manual corrections, and unnecessary loss of time.
As every year, Ficos supports its customers throughout this process, both in Hit-Online and Hit-Office. While accounting principles remain the same, the steps and interfaces differ depending on the solution used. In this article, we explain how to prepare the 2026 financial year in Hit-Online first, and then in Hit-Office, so you can start the new year with confidence.
Short, targeted videos have been added to provide clear visual guidance that can be directly applied during the configuration process.
Preparing the 2026 Financial Year in Hit-Online
Hit-Online is designed to allow flexible and forward-looking management of financial periods. A new financial year can be added before closing the current one, without impacting existing data. This flexibility is particularly valuable at year-end, when certain invoices or transactions already need to be recorded for the upcoming year.
The first step is to add the 2026 financial year. This is done in the Configuration menu under Periods. In the top right corner, you can add a new financial year. This financial year becomes directly available for new entries.
After creating the financial year, it is essential to review the automatic numbering of journals. In Hit-Online, each journal—particularly purchase and sales journals—has its own numbering settings. These configurations ensure that every document issued in 2026 follows a clear and consistent numbering logic.
In the Configuration menu under Journals, you can adjust the numbering for each relevant journal. Two modes are available. Periodic numbering restarts the sequence at the beginning of each month and is often chosen for better month-based readability. Sequential numbering, on the other hand, continues without interruption regardless of the change of month. The choice between these modes depends on your internal procedures and the recommendations of your accountant or financial advisor. When adding the 2026 financial year, the corresponding periods are automatically included in periodic numbering.
It is strongly recommended to verify these settings before entering the first transactions of 2026. Incorrect numbering may lead to duplicates or inconsistencies that are difficult to correct later. A short explanatory video shows exactly where to adjust these settings and how to validate them correctly.
Thanks to centralized data management in Hit-Online, once the financial year and journals are correctly configured, all financial flows are automatically recorded in the 2026 financial year without any additional actions.
Adapting the 2026 Financial Year in Hit-Office
Hit-Office follows a more traditional logic, well known to construction companies that have been using the software for many years. Nevertheless, preparing the new financial year remains an essential step to ensure continuity in invoicing and accounting from the very beginning of the year.
As with Hit-Online, it is recommended to prepare the 2026 financial year before the end of the current year. In Hit-Office, the creation of the new financial year is done via the general accounting settings. There, you define the year 2026 so that it is recognized by the system as an active or upcoming financial year.
Special attention must then be paid to the automatic numbering of documents. Invoices, credit notes, and other accounting documents must follow a consistent sequence adapted to the new year. Hit-Office allows you to define specific numbering rules per financial year, such as restarting counters or using year-based prefixes.
This step is often underestimated, even though it is crucial to avoid confusion during internal or external audits. Incorrect numbering can affect the readability of documents and the overall compliance of your accounting. Here too, short videos illustrating the configuration screens help secure the process.
For journals:
*This procedure applies to all other journals as well. For other documents (orders, projects, etc.):
Since Hit-Office is often used in local or hybrid environments, it is important to ensure that all users are working with the correct settings and that the 2026 financial year is active at the right time. A final check before the year transition is strongly recommended.
