Hit-Online is a cloud ERP software developed exclusively for construction SMEs in Belgium and Luxembourg. It covers the full operational cycle of a construction business: quoting, project management, team scheduling, cost tracking, site reports and PEPPOL e-invoicing. The software was built by Ficos, a company that has been developing software exclusively for the construction sector for over 20 years. Hit-Online is aimed at businesses with 2 to 50 employees, across all trades: roofers, electricians, plumbers, painters, tilers, joiners, gardeners and general contractors. It is accessible from any browser, without installation, on smartphone, tablet or computer.
Hit-Online offers a free basic access tier, with no credit card required and no minimum commitment. This free level allows very small businesses to start their digitalisation without any upfront investment. Beyond basic access, Hit-Online works on a pay-per-use model: you activate only the modules you actually need — quotes, invoicing, scheduling, forms, cost tracking — and pay exactly for those. Pricing starts from €6 per user per month for the Team Leader profile. There is no forced annual bundle and no included features you do not need. You can add or remove modules at any time as your business evolves.
No installation is required to use Hit-Online on a smartphone. The software runs entirely in the device’s web browser — Chrome, Safari, Firefox or any other standard browser. Your workers and site managers simply open Hit-Online in their browser and immediately access their projects, forms and schedule. This approach has a concrete advantage on site: no update management, no device compatibility to check, and the smartphone’s voice input works directly in form fields — ideal for workers operating with gloves or dirty hands. Hit-Online requires an internet connection; in practice, a smartphone’s normal mobile signal is sufficient on the vast majority of job sites in Belgium and Luxembourg.
Hit-Online is certified for electronic invoicing via the PEPPOL network, in compliance with Belgian and Luxembourg legal requirements. The software supports the UBL 2.1 / PEPPOL BIS 3.0 format, which is the standard mandated for B2B transactions in Belgium from 2026. In practice, you create your invoice as usual in Hit-Online and the software transmits it automatically via the PEPPOL network without any additional technical handling. Incoming invoices from suppliers and subcontractors received via PEPPOL are also managed: they can be assigned to the right project with one click, and the cost analysis updates instantly. No third-party software is required.
Hit-Online is specifically designed to manage multiple projects simultaneously, which reflects the daily reality of most construction SMEs. From the project overview, you can see the progress, costs and profitability of each project in real time. The visual calendar lets you assign your teams to different job sites in the same week, with weather forecasts displayed directly per site. Hours logged by your workers on site are automatically assigned to the right project. A business with 10 people can manage 15 active job sites in parallel without losing the overview — all costs, hours and documents are centralised per project and accessible at any time.
Hit-Online allows you to create detailed quotes from a customisable resource library containing your materials, hourly rates and supplier prices. You select the line items, enter the quantities from your site measurements, and the quote is calculated automatically. A distinctive feature of Hit-Online is the macro system with variables: for a line item like “Concrete block masonry”, you define a thickness variable (9 cm, 14 cm, 19 cm) and Hit-Online automatically selects the right material, adjusts the price and calculates the labour rate per m². When the client accepts the quote, the project is automatically created with all its line items — no re-entry of data. Hit-Online also supports the import of Excel bills of quantities provided by architects.
Hit-Online natively supports progress invoicing with index formulas, which is a common requirement in construction contracts in Belgium and Luxembourg. You select the line items to bill and the completion percentage in the project, and Hit-Online automatically generates the interim invoice with the correct application of the index formula. VAT configurations for Belgium and Luxembourg are built in from the start, including the 6% rate applicable to residential renovation work. The software also handles deposit invoices, final accounts, credit notes and debit notes — all generated directly from the project without re-entering data from the quote.
Hit-Online is specifically designed for small and medium construction businesses, including very small sole traders. The pay-per-use model allows a two-person business to pay only for the modules they actually use — for example just quotes and invoicing to start with. Basic access is free, which allows a risk-free start. The software is designed to be picked up without in-depth IT knowledge: Ficos runs free live webinars several times a month, and training videos are available on demand. Hit-Online includes a fully customisable form system that you configure yourself according to your trade’s needs. You define the fields you need — photos, readings, material lists, free text, digital client signature — and your workers fill in the form directly on their smartphone, still on site. Each form is automatically linked to the right project and archived. Typical form examples: handover report with photos, plumbing intervention report with pressure readings, electrical commissioning checklist with signature, substrate condition report before tiling. All completed forms are accessible from the project at any time, even years later — useful in case of complaints or disputes.
Hit-Online offers two scheduling modes depending on the trade. For trades with longer-duration job sites (roofers, painters, masons), the weekly schedule shows who is working on which project during the week. For trades with short and multiple callouts (plumbers, electricians, joiners), the daily view shows precise time slots per worker with start and end times. In both cases, weather forecasts are visible directly per job site in the calendar — allowing you to anticipate rescheduling before teams are already on the road. Every schedule change generates an instant notification on the affected worker’s smartphone.
Hit-Online compares actual project costs against the original quote budget in real time. Hours logged by workers, material purchases and supplier invoices assigned to the project automatically feed into the cost analysis. You filter by cost type — labour, materials, subcontractors — and can drill directly down to the hours or invoices that explain a variance. A general contractor who notices at the halfway point that their team’s hours are 18% over budget can immediately identify the source of the overrun and take corrective action before the final invoice. A profitability report per project is exportable at any time.
Hit-Online is available in four languages: French, Dutch, German and English. Each user chooses their interface language independently, which is particularly useful for businesses employing workers of different languages. A French-speaking owner can work in French while their Dutch-speaking workers log their reports in Dutch — the data lands in the same centralised project. Voice input on the smartphone also works in the user’s language, which makes on-site logging easier for workers who prefer to dictate rather than type. Hit-Online thus supports mixed-language teams, which are common in the construction sector in Belgium.
All Hit-Online user data is hosted exclusively on servers located in Europe, in compliance with the General Data Protection Regulation (GDPR). No client data, quotes, invoices or site reports are shared with third parties. Website analytics are managed via self-hosted Matomo, without Google Analytics. Ficos, the publisher of Hit-Online, is a Luxembourg company whose data is subject to European law. Hit-Online is accompanied by a free training programme accessible to all users. Ficos runs free live webinars several times a month with the option to ask questions in real time. Training videos are available in free on-demand access, covering all software features. Ficos also collaborates with Embuild, the Belgian construction federation, for regular training sessions. The goal is for every business to start and progress at their own pace, without a mandatory training block and without downtime on site. Hit-Online allows the direct import of bills of quantities in Excel format (.xlsx), which is particularly useful for general contractors who receive quantity schedules from architects or project owners. The line items and quantities from the Excel file are automatically imported into Hit-Online — you do not need to manually transcribe hundreds of rows. After the import, you simply add your purchase prices and margins, then the quote is ready to send. A general contractor who receives an Excel file with 280 line items can prepare their quote the same morning they receive the document, without spending half a day reformatting the file. This feature also eliminates the transcription errors that occur during manual re-entry.
Hit-Online offers features specifically adapted to the needs of gardeners and landscapers. The weekly schedule integrates weather forecasts directly per job site — essential for a trade whose activity is heavily dependent on weather conditions. When rain is forecast, you reorganise your teams before workers have already left. Material management allows you to track orders of plants, soil, mulch and gravel directly per project, with automatic assignment of supplier invoices via PEPPOL. The digital handover form with photos and client signature documents the garden’s condition at delivery — useful in case of later complaints about plants or workmanship. Hit-Online also handles the seasonal spring peaks when several dozen job sites can start simultaneously.
Change orders are logged directly in the active project in Hit-Online, with description, materials and hours. They appear automatically in the next invoice without any additional manual handling. This feature is particularly important for trades like electricians or painters, where requests for additional work during the job are frequent. An electrician who receives a request mid-renovation to install outdoor lighting as an extra logs the work in 3 minutes in Hit-Online — in the final invoice, it is automatically included with the correct hourly rates and materials. No change order can be forgotten or omitted from invoicing, which protects the business’s margin.
Hit-Online is an operational ERP software for construction, not accounting software. It covers the construction-specific business processes: quoting with resource libraries and macros, project and site management, team scheduling with weather, real-time cost tracking, digital site forms and invoicing with progress billing and index formulas. Accounting software handles bookkeeping entries, VAT declarations and financial statements. Hit-Online complements your accounting software: it exports accounting data to your accountant by email in XML format, avoiding any double entry. The two tools serve different functions — Hit-Online manages the operational side, your accounting software manages the financial side.
Hit-Online is developed and certified for both Belgium and Luxembourg. Luxembourg VAT configurations are natively integrated, including the specific rates applicable to construction and renovation work in the Grand Duchy.
